Windows/Email User Creation 

 

 

This will be a step-by-step guide for creating a new user for Arizona Asthma and Allergies (AAAI). As part of the process, we have the HR lead fill out a form that will give us all the information we need to create a user. These things have reference users and need taskboard monitoring assignments if they are a Medical Assistant (MA), or a biologics team member.  

 
 

You will get an email like this from the HR lead.

  1. 1) Go to Syncro and remote into AAAI-DC-01 using your Damontek Admin login. Once you have logged in, open the user and computer program by opening the start menu and typing users and computers. 

 

  1. 2) Next search the domain tree to get to active users. The path is medman.com -> AAAI -> Accounts -> user accounts 

 

  1. 3) Find the reference user and make sure that they have groups assigned by double clicking the user. Click the "member of" tab and check to make sure user has groups. This is to check to make sure that the user is active. In exceedingly rare cases a user may still be in the user accounts folder, but it is no longer with the company. If there are no groups, send an email back to inquire if the reference user is still with the company. If you have groups, you can move to the next step. 

 

  1. 4) Close the pop up of the reference user. Right click on the reference user and click copy user. This will open a fillable option for the new user. 

 

  1. 5) Enter New user information (First name, last name, email). The user email will be first initial.lastname@azsneeze.com (t.chester@azsneeze.com) 

 

  1. 6) Passwords for new users at AAAI have the same password (Welcome2023!) The best way to do this, to eliminate human error, is to go back to the ticket and click the canned message titled " New User Created - AAAI". There it already has the password so that you can copy and paste into the password fields. Make sure that you don't check any of the boxes under the password. Click next. Make Sure that their email updated on the General tab of their account, otherwise add it


 

  1. 7) Navigate to admin PowerShell (win + x then a) or from the start menu right click PowerShell and hit run as admin. Next run this script to force a sync of the DC "Start-ADSyncSyncCycle" 

 

  1. 8) Next go to https://admin.microsoft.com in your browser and once again enter your Damontek Admin credentials and click users -> active users and search for the user. Select the user you created and hit "Licenses and Apps". Select BOTH Microsoft 365 business standard and Microsoft Defender. scroll down and hit save changes.

 

  1. 9) Navigate to https://portal.azure.com, go to Azure Active Directory->UsersSelect the "Per-user MFA" button on the headerSearch for and select the new user accountClick to Enable 2FAReselect the new user account.  Click to Enforce 2FA. 

 

  1. 10) Paste new users' information into the canned message. 

 

  1. 11) Open a browser tab https://login.microsoftonline.com and sign in with the new users' credentials to make sure that you can log in. 

 
 

 
 

 
 

Intergy User Creation 

 
 

  1. 12) Next navigate to the remote desktop app (orange one) and sign in with your Damontek Admin login. Once you sign in, open the remote desktop.

 

  1. 13) Next open the start menu and search Intergy System Admin or find the app on the desktop (says System Administration). Log in with your Intergy credentials. 

 

  1. 14) Click the icon that looks like a lock and key titled users and security. It will have a search bar that you can use to search for the same reference user provided by the HR lead. Usernames in Intergy are first initial lastname (tchester). 

 

  1. 15) Once you have found the reference user and selected them, on the left-hand side there is an option to copy user. This will then open an option to fill out the credentials for the new employee. 

 

 

  1. 16) The password situation is like the windows one above. Copy and paste the password from the canned message to the password Tab. This time check the boxes that say user can change password and force user to change password on next login. Note that the password should be "Welcome2023!" 

 

  1. 17) You are done in the system admin side of Intergy. Close the system admin 

 

  1. 18) Open regular Intergy (there should be a copy on the desktop) if not search for Intergy from the start menu. Log in with your Intergy accountWhen you log in select no when offered to update to a new service. 

 

  1. 19) Navigate at the top menu and select set up -> Tasks -> monitoring (Middle of the box that has the task types). Then select new. This will bring up a menu to create a new taskboard. 

 

  1. 20) Next go to the desktop and find the shortcut that looks like a big H and is titled New MA taskboards 1.5. Launch the shortcut. 

 

  1. 21) Next have both Intergy and the shortcut up and type the new users Intergy username (tchester) into the line 

 

  1. 22) Next put your cursor in the box "receiving user" then hit the ok but on the New MA monitoring assignment and let the Auto hot key run. This will take about 10 seconds. After it has finished, you are good to go ahead and log out of Intergy. 

 

  1. 23) The last step is to make sure that the credentials work by attempting to sign into Intergy with the new user's credentials. If you can log in and it prompts you to make security questions, you are good to go ahead and send the canned message back to the HR lead and close the ticket. Make sure to not make their security questions but instead exit out. 

 

 

 

 

 

 

 

 

Updox 

 

 

  1. 24) Go to Intergy (myupdox.com) and sign in with your damontek email. 

 

  1. 25) Go to the hamburger in the top left and then admin -> users 

  1. On the bottom it will say new, click that 

 

  1. 26) Fill out the new user's info. Just their name, username (email), and the password. Confirm the "Can delete items" checkbox is not checked

 

  1. 26) After you have done all new users for updox you can look at the bottom right where it says “need help” if it isn’t up already 

 

  1. 27) Ask updox to sync the server. Go to the messages tab and do a new message. Ask to sync the server so that the new users will be sent to the system. You can say you are an admin and give them your account id. This is found in the very bottom right of the browser.

Last step 

 

  1. 28) Go to Freshdesk and then the + NEW in the top right and select new contact.

 

  1. 29) Enter their name and their email address. Scroll down a bit to company and add them to Arizona Asthma & Allergy and then hit Create

 

 

 

Former Employee Re-hire 

Here is an example email from HR. 

 
 

The following employee needs Windows/Email/Intergy Access. Also, taskboard monitoring assignments need to be made. 

Adrianne Begay is a re-hire Back Office Medical Assistant that will begin re-employment on Monday, October 24, 2022, and should be set up like Lisa Zucarelli and should be included in the All AAAI employee email group and the medical email group.

  1. take a screenshot of the groups of the reference user. In this case it will be Lisa Zucarelli (you can take a screen shot by using the snipping tool, WINDOWS+SHIFT+S, from your computer.) 
     

  1. 4) Next on the left-hand side of the screen about the user accounts tab that you are in you should see a disabled accounts tab. Click there and find the user. For us this would be Adrianne Begay. Right click on the user and hit enable user. 
     

  1. 5) Right click on user again and reset the password to Welcome2023! 
     

  1. 6) Double click on the user and select member of to add groups to the new user. When adding groups note that you do not have to type it all the way out. For instance, if you click add and type "all" the dc will add user to the AAAI All Employees group. Add the new user to all the groups that the reference user is in by using the screenshot that you took. 
     

  1. 7) Once you have added all the groups hit apply and ok. Then drag the user from disabled user accounts to user accounts. 
     

  1. 8) Navigate to admin powershell (win + x then a) or from the start menu right click powershell and hit run as admin. Next run this script to force a sync of the DC "Start-ADSyncSyncCycle" 
     

  1. 9) Next go to https://admin.microsoft.com once again enter your AAAI admin credentials and click users -> active users and search for the user. Select the user you created and hit "Licenses and Apps". Select BOTH Microsoft 365 business standard and Microsoft Defender. scroll down and hit save changes 

 

  1. 10) Paste new users' information into the canned message. Also make sure that their mailbox is an user mailbox and not a shared mailbox

    1. a. to check, go to the same admin.microsoft.com and click the show all on the bottom left and then exchange


    2. b. go to recipients | Mailboxes and find your users' mailbox


                        c. you can see if it a shared or user mailbox under the name on top. it it is a shared mailbox go to the others tab and do convert to a user mailbox


 

  1. 11) Open a browser tab https://login.microsoftonline.com and sign in with the new users' credentials to make sure that you can log in. 
     

Re-hire Intergy Part 


  1. 12) Next navigate to the remote desktop app (orange one) and sign in with your AAAI Admin. Once you sign in open the remote desktop 
     

  1. 13) Next open the start menu and search Intergy System Admin. Log in with your intergy credentials. 
     

  1. 14) Click the icon that looks like a lock and key title users and security. It will have a search bar that you can use to search for the re-hire user provided by the HR lead. Usernames in intergy are first initial lastname (Tester Chester = tchester). 
     

  1. 15) When you find the account near the bottom of the window there should be a box that checks and says, "prevent login", uncheck that box and reset the password, deleting the current password and paste in the new password. "Welcome2023!" hit save and you are all done. 
     

 

 

 

 

 

First Call Triage Account Creation 


  1. 16) Go to Syncro and remote into AAAI-DC-01 using your AAAI password. Once you have logged in, open the user and computer program by opening the start menu and typing users and computers.  

 

  1. 17) Next search the domain tree to get to active users. The path is medman.com -> AAAI -> Accounts -> vendor accounts -> First Call Triage 

 

  1. 18) Find the reference user and make sure that they have groups assigned by double clicking the user. Click the "member of" tab and check to make sure user has groups. This is a way to check to make sure that the user is active. In very rare cases a user may still be in the user accounts folder, but it is no longer with the company.


  2. If there are no groups, send an email back to inquire if the reference user is still with the company.


  3. If you have groups, you can move to the next step.

Next You need to create an Intergy account for them.

  1. 28) Click the icon that looks like a lock and key title users and security. It will have a search bar that you can use to search for the same reference user provided by the HR lead. Usernames in intergy are first initial lastname (tchester).
